Executive Assistant – Community Paramedicine (CP) Program
Temporary Full-Time 3-month contract, with possibility of extension / Backfilling for a temporary leave
36.25 hours per week / $33.13 – $39.81 per hour / New Liskeard or Kirkland Lake

The District of Timiskaming Social Services Administration Board supports individuals in need throughout our communities by delivering Children’s Services, Paramedic Services, Ontario Works and Housing Services through the effective use of available resources and in the best interest of the individuals we support. We are seeking a qualified and motivated candidate to join the Paramedic Services Team as an Executive Assistant to support our District’s Community Paramedicine Program.
Community Paramedicine (CP) promotes collaboration with other health care
professionals and community agencies to connect clients with needed health and
community services. These connections assist clients to participate in their
care, maintain independence and promote involvement in their communities.
Community Paramedicine also helps to improve quality of life and wellbeing;
reduce health exacerbations and crisis requiring 911 response; reduce emergency
department visits and hospital admissions, etc. The Executive Assistant
for Community Paramedicine supports the success of the DTSSAB’s Paramedic Services leadership team and of
our Community Paramedicine Team in achieving organizational objectives.
Responsibilities:
§ Work with the Superintendent of Community Paramedicine (CP) to facilitate community paramedic activities (i.e.: clinics), and provide support to ensure the effective administration of the Program that maximizes care to clients and communities
§ Assist with the ongoing development of the CP program to help ensure alignment with expected outcomes and applicable legislation
§ Track data points and prepare reports, as per mandated Ministry of Health reporting structures
§ Process referrals, as appropriate
§ Schedule client appointments using CP program-specific scheduling software
§ Support internal and external evaluations of the CP Program, including collection and analysis of data, as required
§ Provide administrative support to members of the CP Team, as well as occasional confidential support (i.e.: meeting minutes, code invoices, scheduling) to the Paramedic Services (PS) leadership team for overall Paramedic Services operations
§ Attend internal and external meetings throughout the district, as required
§ This position works as an integral member of the DTSSAB’s Paramedic Services team
Demonstrated competencies and experience:
§ Collaborative work style, strong teamwork abilities, leadership qualities, positive and productive staff interrelations
§ Relevant experience, preferably providing highly confidential, senior administrative level support, centered on service excellence
§ Scheduling and coordination experience, ideally working with multi-faceted teams in a public service or health care environment
§ Post-secondary education related to the position’s requirements (i.e.: Executive Office Administration, Business Administration, other). An equivalent combination of experience and education will be considered
§ Bilingualism (fluency and proficiency in verbal and written French and English communication) is highly desirable
§ Proven interpersonal and relationship-building skills; ability to earn the trust of others based on a people-service orientation, demonstrated respect, empathy, openness to diversity, professionalism, adaptability, high integrity, exemplary work ethics
§ A commitment to working with diverse populations and stakeholders, including vulnerable and marginalized populations
§ Effective communication, including excellent listening abilities, clear verbal skills and effective overall communication
§ Sound judgement, critical thinking, common sense in problem-solving and decision-making, strong conflict resolution abilities
§ A high degree of accountability and discretion due to exposure to confidential and sensitive program and client information
§ Proven attention to detail and accuracy; ability to follow instructions/requests precisely, and strong execution capabilities
§ Excellent planning/coordination skills, time management and organizational practices
§ Confidence and ability to effectively and successfully manage assignments when working in cooperation with others
§ Open to feedback and ideas, as well as adept at recommending improvements and applying creativity to effect positive change
§ A high degree of technical proficiency, and the ability to develop a working knowledge of applications and systems used (Excel, Word, Outlook, department-specific scheduling software, Radius, TPON)
§ Ability and willingness attend meetings, as well as travel throughout the district is essential
